Your room kit includes a speaker/camera unit and an endpoint touch panel. The touch panel is a multifunctional control hub but for now, we'll start with the basics...
Call Button
This function is not configured at this time. We'll update this document once it's ready.
Share Button
This function allows you to share your screen without being in a Webex session. This is useful for meetings when the guests are physically present in the room and you want to share your presentation or collaborative docs. In order to share your screen in this way you must have the Cisco Webex Meetings desktop app installed. Launch the app then tap Share on the touch panel. Click Connect to a device at the bottom of the app window.
If you are in proximity of a room kit or have connected to a room kit in the past, it will be displayed for you to select.
The display will detect that you're trying to share your screen and will show a four-digit number. Your desktop app will ask for the numbers being displayed. This prevents users from connecting to your room kit without authorization or being physically present.
If you've never connected to a room kit before and it doesn't find one in proximity you can click Search for a device. If you don't know the name of your room kit, it will be displayed in the upper left hand corner of the touch panel.
After you've connected to a room kit the first time, the app will remember and automatically make it the choice the next time it's launched and close by.
Meetings Button
Tapping this button will display any meetings that are scheduled for that room kit. In other words, meetings that the room kit is listed as a guest. See instructions below.
Join Webex Button
If you are invited to a Webex meeting and you want to attend the session using the room kit, you can tap the Join Webex button on the touch panel and type in the meeting number found on your calendar event.
Schedule A Meeting
Scheduling a meeting to be held through your room kit is exactly the same as scheduling a regular Webex meeting but with one additional step. Instructions for scheduling a meeting can be found here: Webex-Create A Scheduled Webex Meeting
The additional step is to add your room kit as a guest to the meeting. If you're not sure of the name of your room just type the word webex in the guest field. The system will drop an alphabetical listing of all the Webex room kits so you can find yours in the list. When finished, click Save.
Five minutes before the meeting, the endpoint touch panel should alert you to the upcoming meeting. If you are the host of the meeting, there will be a green Start button.
NOTE:
We're still learning as we go however, we found that everything seems to work better if (as the host) you start the meeting by clicking the link in the calendar invite then once you're in the meeting room, the Start button on the touch panel will turn to Join. Tap Join or say, "Ok Webex, join my meeting."
Special Request...
Because this is new for all of us, if you find a process that works better or easier for you or have tips and tricks that others can benefit from, please be sure to let us know so we can improve our documentation for all. Thank you! -Diane Isbell
